Organizing compliance records for a review

Make relevant evidence easier to locate and explain without collecting unnecessary information.

Use an evidence register

Create a register with a document name, responsible person, version and storage location. Separate current documents from superseded versions so reviewers can identify the applicable procedure.

Agree access first

Ask which records are needed and how they should be shared. Confirm access arrangements before transferring sensitive customer information. Start with redacted examples when suitable for the agreed scope.

Track outstanding questions

Keep a shared list of requests and clarifications, with an owner for each response. This makes it easier to distinguish missing evidence from work still in progress.
